6、nicationCOWI PowerPoint design manual#ForewordThe purpose of this manual is to ensure consistency in COWIs graphic style and tone, with a view to strengthening the COWI brand. The manual also serves as a tool to simplify the creation of PowerPoint presentations for individual users, enable the seaml

7、ess transfer of PowerPoint data formatted to a common standard, for all to use.NoteTo complement this manual, a PowerPoint data bank, based on a “Digital Asset Management” system is planned. The system will enable users to access existing PowerPoint presentations and reuse complex and time consuming

8、 slides. To accomplish this, it is essential that future COWI PowerPoints adhere to the guidelines of this manual. This manual is designed to be used when designing COWI-specific PowerPoint presentations and not as a general PowerPoint tutorial. However, a range of the most effective methods and too

9、ls required to create professional looking PowerPoint presentations, are covered. An existing basic knowledge of PowerPoint is required.This manual basic techniques and does not include instructions on how to integrate audio/video, actions, exportsformats or online features etc. The COWI PowerPoint

10、design manualWelcome to 03.07.044Publisher: COWI Corporate CommunicationCOWI PowerPoint design manual#IntroductionPowerPoint is found in numerous forms and media, but generally speaking there are two basic types: accompanied and unaccompanied PowerPoint presentations. This manual has been compiled f

11、or accompanied PowerPoint presentations. Accompanied PowerPoint presentationsIn this respect, PowerPoint should be viewed as nothing more or less, than a “visual aid”, that simply supplements the speaker. The routined speaker, who is experienced in his/her subject, will often require little more tha

12、n a basic PowerPoint in the form of headings and bullet points with the support of a straightforward graphics. As most presentations are given to an audience using a projector, this makes demands on legibility, due to the often difficult lighting conditions and varying viewing distances. The PowerPo

13、int design therefore has a graphic language that shares a familiarity with i.e. signs and posters. This means that graphics are likely to appear relatively crude, and therefore requires a visual makeover to ensure all graphics fullfills their purpose - functionally as well as aesthetically. The acco

14、mpanied PowerPoint has strengths in animation. Animations can create an area of focus by highlighting a particular point. This does, however, require perfect synchronisation between the speaker and the animation if the presentation is to run seemlessly. Generally speaking, it can be said, that the d

15、egree of animation used should be directly proportional to the speakers routine and acumen on the spoken subject. The use of any animation is very much a question of individual character, but be cautious; any uncoordinated animation can spoil the impression of even the best designed PowerPoint prese

16、ntation. Be careful not to create an overload of information. Bear in mind that the audience are expected to read the content while being addressed. This means that large amounts of text and or complex graphics in PowerPoint are not the ingredients for communicating effectively. So, refrain from usi

17、ng the PowerPoint presentation itself as your own notes. Instead, use the “Notes Pane” for speaker notes, limiting the use of PowerPoint itself to cues and bullet points. Your notes can be printed using the “Notes Pages” print function and have these in front of you when presenting. Note: Naturally,

18、 the accompanied PowerPoint will not work optimally without its accomplice, the speaker. Should the presentation be made either unaccompanied or published in a printed form, then additional explanatory text should be added.Types of PowerPoint presentations 03.07.045Publisher: COWI Corporate Communic

19、ationCOWI PowerPoint design manual#IntroductionThe unaccompanied PowerPoint presentationIn many respects an unaccompanied PowerPoint stands in stark contrast to the accompanied.Obviously, the biggest difference is the need to include all the necessary information to fully understand the content. On

20、the other hand, the unaccompanied PowerPoint is often interactive. Here, interaction mainly means giving the user control over the timing of the presentation. This requires careful editing in terms of the amount of information contained on each slide. This also applies to the accompanied PowerPoints

21、. The unaccompanied PowerPoint is also ideally suited for multimedia applications. Furthermore, the choice of media and the viewing distance play an important role in the unaccompanied PowerPoint. Typically, a PC monitor will be the media. This allows for a considerable amount of information, of hig

22、h graphic complexity on each slide. A parallel can be drawn between the type of graphic communication of an unaccompanied PowerPoint and that of i.e. websites, than what would be characteristic of the accompanied PowerPoint. This section of COWIs PowerPoint manual, by the way, is a typical example o

23、f the unaccompanied PowerPoint. Note: This manual has been authored with the accompanied PowerPoint in mind. Types of PowerPoint presentations 03.07.046Publisher: COWI Corporate CommunicationCOWI PowerPoint design manual#The virtually universal distribution of PowerPoint, as an integrated part of th

24、e MS Office suite, has made the program a generic brand, this, ironically, has resulted in many users not giving PowerPoint due credit as a professional communications tool. PowerPoint presentations convey a companys level of communication, in the same manner as other professional media, such as web

25、sites, annual reports etc. and should therefore abide by the same high requirements to quality. So, contrary to common belief, there is no mitigating circumstances for promoting less than professional visual communication in PowerPoint. For that reason, please adhere to the manuals guidelines and al

26、ways use professionally made illustrations and photos, especially when making external and public presentations! It takes very little to compromise a presentation. A single “homemade” illustration, can reverse the good impression, even of an otherwise perfectly designed PowerPoint. Presentations des

27、ign for external useThe quality of visual communication highly influences how a company is perceived and ultimately even affects share price. For this reason, it makes good business sense to use professional designers when creating important presentations for external use.If an independent designer

28、is briefed and prepared using the manuals guidelines containing the necessary basic material, then production costs will be reduced substantially. 29、t on the principle of an introductory text concerning a number of important conditions relevant to PowerPoint. This is both generally and more specifically about the use of the manual. Next, a number of working examples are available, based on typical COWI slide types - all compiled as variations fr

30、om a predefined master set. Furthermore, the manual assists with comments, where relevant, to a particular example. These comments are displayed in the “Notes Pane” window at the bottom of the PowerPoint interface. If the “Notes Pane” window is not visible, then it can be activated by clicking on th

31、e “Panes” icon in the bottom left-hand corner of the PowerPoint interface. The creation of COWI PowerPoint presentationsThe manuals working examples make up the basis upon which all new COWI presentations should be created. New presentations are created by choosing the slide designs in the manual th

32、at are appropriate for a new presentation. The remaining slides are deleted and the presentation is saved under its own file name. The manuals existing text and graphics can then be adapted to the actual content. Exceptions to the above method are slide types such as “Title Master”, “Bulleted List”,

33、 “Title Only” and “Blank”. These can all be inserted directly from the “New Slide” menupoint under Insert, and will be correctly formatted in accordance with the definitions in the manual. Note: The above procedure, is determined by an inherent PowerPoint 2000 and partly 2002 limitation. This is the

34、 case for only one predefined master slide set, as well as the lack of options available to customise PowerPoints graphic defaults under the menu “New Slide” and “Insert chart”. 35、ign manual is not necessarily a constraint on creativityThere is, for the creatively minded, always ample opportunity for personal development within the manuals framework. In addition to this even the most comprehensive manual must allow for unforeseen circumstances. Situations will no doubt occur,

36、 where the manual will prove inadequate. Here the user must decide how best to tackle the specific design problem. The manuals intentIn circumstances where the manual proves inadequate, it is important to interpret the intent of the manual. The manuals intent can be interpreted simply by asking the

37、question: “How would the specific design problem have been solved, had it already existed in a manual?”. This is, of course, easier said than done if you are not a professional designer. However, you can make considerable progress by seeking inspiration from the manuals existing designs.Custom desig

38、n solutionsPowerPoint can, in some instances, be so demanding that neither the manual nor an interpretation of its intent will suffice when performing a task. 39、I Corporate CommunicationCOWI PowerPoint design manual#FeaturesA special image photo catalogue has been devised for exclusive use in COWI PowerPoint presentations. The catalogue contains themed groups, that cover all COWI business areas. This will enable individual departments to define a unique pro

40、file by choice of images. Implementation: The images are not created with any particular illustration purpose in mind, but can be used to ad mood and style to presentations. Be sensitive when creating a reasonable balance between factual content and images, so the essence of the message remains clea

41、r. Design: All photos are available in two versions, colour and duotone. All the colour and duotone photos, are specially calibrated to a style that is dictated by the PowerPoint manuals basic colour scheme. The result is a consistency between images, irrespective of subject or motif, that can be fr

42、eely assembled to create a consistent impression without disrupting the presentation.Formats: Images are proportioned precisely to the manuals five image modules and do therefore not require any further adaptation before use. Go to guides (shortcut: “control-G”) before inserting image. See slides no

43、. 85-93, under “Image modules and inserts” Scope: There are presently 150 photos in the collection. This is built on 15 basic photos in 10 variations (5 different image modules and two colour variations - colour and duotone). 46、anual#FeaturesIn recognition of the extensive use of ClipArt in PowerPoint presentations, COWI has decided to protect its CVI by pre-empting the situation and has included its own ClipArt collection in place of Microsofts. The COWI ClipArt collection is colour coordinated to fit the design manuals c

47、olour scheme, and is available as scalable WMF files. The collection presently comprises of more than 200 illustrations in 9 categories. AccessThe ClipArt collection is accessible through PowerPoints own “Clip Organizer”, on the local PC. Click on the “Insert Clip Art” icon in the bottom “Draw” menu

48、 toolbar or go to the top menu toolbar and choose on the menu “Insert/Picture/Clip Art”. The “Insert Clip Art” pane opens at the right-hand side of the screen. Click the “Clip Organizer” icon at the bottom of that pane and navigate to the COWI-folder in the “Shared Collections” folder. The graphic c

49、an now be inserted with a simple “Drag and Drop” action. Colour changeTo change the colour of the Clip Art, use the command “Recolour Picture”. This function presents a quick and simple method to a global colour change for each of the manuals colours. Any alteration to the grey line colour is not re

50、commended. Furthermore, only use the lightest of colours from the palette as background colours. right-click the mouse, choose “Format Picture” on the menu, choose the “Picture” tab from the dialog box, click the button “Recolour Picture”, and the “Recolour Picture” dialogbox will appear. 51、rdinated & PowerPoint optimized ClipArt03.07.0411Publisher: COWI Corporate CommunicationCOWI PowerPoint design manual#FeaturesIn COWIs PowerPoint presentations, the need to show the firm and its relation to other sectors, as well as related areas of trade, frequently occurs. For this purpose, the ma

52、nual provides a logotype collection. Scope: The collection includes both COWI and COWIs sub brand logotypes, as well as competitor logotypes and other sector related firms. Two versions of each logotype. One version in the original corporate logo-colour, and one version in a colour coordinated duoto

53、ne. The duotone version is provided for conditions, where there is a particular wish to accentuate COWI in relation to the remaining sector. Access: Access to the logotype collection can be gained using PowerPoints “Clip Organizer” on the local PC. Click on the “Insert Clip Art” icon in the bottom “

54、Draw” menu toolbar or go to the top menu toolbar and choose on the menu “Insert/Picture/Clip Art”. The “Insert Clip Art” pane opens at the right-hand side of the screen. Click the “Clip Organizer” icon at the bottom of that pane and navigate to the COWI-folder in the “Shared Collections” folder. The

56、n important part of PowerPoint presentations. For this purpose, the COWI PowerPoint manual offers a large number of specially optimized ClipArt and image photos. All COWI graphic media elements is accessible through PowerPoints internal Clip Organizer, where it is categorized under type or theme and

57、 with clear graphic subtexts. The procedure for importing COWIs ClipArt is simple:Activate PowerPoints Clip Organizer by clicking on the “Insert Clip Art” icon on the “draw” menu located at the bottom left of the screen. The “Insert Clip Art” pane open at the righthand-side of the window. Click on t

58、he “Clip Organizer” icon at the bottom of the pane.The “Clip Organizer” browser window appears. Navigate to the COWI Clipart folders inside the “Shared Collections/COWI” folder.Select the desired category and then “drag and drop” the wanted file directly onto the PowerPoint slide. NoteAll COWI graph

59、ic media elements, imported using the PowerPoint Clip Organizer, will be proportionally sized in relation to the defined manual slide layout and image placement modules. Ideally ClipArt should not be significantly down-scaled from its original size, and image photos should not be scaled at all. It i

62、lettesPowerPoint is in fact not just one, but two programmes - PowerPoint itself and the add-in programme named MS Graph. MS Graph is used for implementing charts in PowerPoint. MS Graph is an independent programme, but still retrieves most default settings from the active PowerPoint configuration.

63、Unfortunately, the integration between PowerPoint and MS Graph is incomplete. This is of particular consequence for the colour palettes. Microsoft has implemented different colour palette layouts for each of the two programmes. Furthermore, each colours position in the overall “Colour Scheme” active

64、ly determines which specific PowerPoint graphic element is allocated that colour per default. That also applies to various elements in MS Graphs diagrams. This of course has an effect on the colours physical position on the palette. Furthermore, there is a big difference in the capacity of the two p

65、alettes. The PowerPoint colour palette.PowerPoint allows a maximum of 16 defined colours. Of these, 8 are found in the “User Defined” section. But as this section is dynamic, the colours will be replaced as the user defines additional new colours. Therefore, the user definition of colours - using th

66、e “More Colours” function - should be avoided, if the 8 colours available in the colour selector are to be maintained.MS Graph Colour PaletteMS Graph, on the other hand, allows for a maximum of 56 permanently defined colours. At the same time, only 6 of these automatically correspond to PowerPoints

67、own colour palette. The remaining 12 of the manuals 16 colour palette must be manually coded. In addition to this, the colour palette is not the same throughout the presentation, but individual for each of the manuals diagrams.Note: On the following two slides, colour overview panels have been creat

The Masters defines all the basic commo

The Master design is implemented globally for all existing, new, and subsequently imported slides.Master text information: With the exception of the presentation title (in the case of the present manual “COWI PowerPoint design manual”), never edit the master slide! All other tex

81、t information that works on the master slide is implemented as “Header and Footers”. See slide 19 for a more detailed description of this function.Slide Master: With the exception of the “Title Slide”, then the “Slide Master” is the basis for all other slides in the presentation. Title Master: This

82、is primarily used as a start, agenda, content, chapter or exit slide. For alternatives the master illustration can be replaced with type M1 photos. Handout Master: Use, for example, handouts to publicise the entire presentation in print. Handouts layout can be configured from two to nine slides per

83、page under the “Handout” section in the “print” dialogue box. The master is designed to print pages in portrait A4 format. Notes Master: Use the notes master to, for example, print cue cards for each individual slide in the presentation. The notes master will automatically format speaker notes from

84、the “Note Pane” to a legible typographic layout. Preview and edit speaker notes in the “View/View Notes page”. The master is designed to print pages in portrait A4 format. Note: If the master components on a slide are incorrectly formatted, they can be restored by choosing “Format/Slide Layout” from

85、 the topmenu. The “Slide Layout” pane opens at the righthand-side of the window and the currently assigned layout is automatically highlighted. Right-click the highlighted layout, and choose “Reapply Layout” from the popup menu. You can also change the current layout to a different one, if needed.Th

This information appears on the four PowerPoint mast

87、er slides: “Slide, Title, Notes and Handout Master”. All this information is defined via “Header and Footers”, and should be inserted using this function. With the exception of the presentation title (in the case of the present “COWI PowerPoint design manual”), it is not necessary to insert informat

88、ion directly on the master slides. The header and footer procedure is simple:Select “View” from the top menu bar.Choose “Header and Footers” from the menuKey in your text in the dialog box and click “Apply to All” NoteThere is a separate tab for “Notes and Handouts” which also should be completed if

89、 you have a need for these.Be aware that the date field is preset to “Fixed”, so the date must be keyed in manually. It is important to observe the date format (DD.MM.YYYY) as the COWI PowerPoint is designed around this.If you click “Apply”, and not “Apply to All”, the settings in the “Header and Fo

92、 appear. If the displayed information is correct, then simply key “Enter”. Otherwise, you are given the opportunity to change the information. 94、definitive set of rules for text size and level of detail in PowerPoint presentations. Due to variations in the projection equipment, the physical conditions of the room, lighting, view point and angle, these factors all affects the viewing experience when aiming for an optimal reproduction.Therefor

95、e, choose the lowest common denominator with a comfortable margin in relation to the physical conditions for your presentation. Remember to be consistent. If you are unfamiliar with the physical conditions for your presentation, then stick with the manuals definition of the lowest common denominator

96、. The graphic design in this manual has been optimized to work under relatively difficult physical conditions. Autoshape Connectors: The “Connectors” function is an effective way to connect objects by track lines. One typical example are flowcharts, where the connectors can be used with optimal ef

140、fect. Here it is especially the “Elbow Connector” type which is relevant. Connectors will, similar to most other autoshape types, automatically snap to the centre of the nearest edge of an object. A connector line will maintain the connection to its host object, even if it is moved. The “Connectors”

145、nes. In the case of COWI PowerPoints these guidelines would be: Exclusively use the Verdana typeface in COWI PowerPoints.Always use upper and lower case letters, never only upper case. Use a paragraph formatting with: Line space: 1 and space before paragraph: 0,50-0,75. This combination ensures that

146、 multiple line paragraphs, is clearly distinguished from numerous single line paragraphs just by pressing the “Return” key. Hence, this combination will not require additional blank lines between paragraphs. Line spacing is set by highlighting the relevant text, go to the top menu bar and choose the

147、 menu “Format/Line Spacing/ key in the desired values”. Bullet points should, ideally, not exceed 7 per slide. Avoid text indents beyond 2 levels. Ironically, the default configuration for graphs in PowerPoint/MS Graph are the worst imaginable, seen from a visual communications point of view. Experience shows, that an audien

166、ce will often not comprehend the many numerical entries of a default MS Graph graph, whereas the charts graphic features are more easily perceived. Therefore, it is recommended, that graphs should be clarified by extensive simplification. This manual shows, in the form of working examples, a series

167、of alternatives to default PowerPoint graphs. In situations where these working samples are insufficient, some general guidelines on the design of graphs in COWI PowerPoints are provided here:As a rule, use only 2D graph types, unless a 3D view is essential for understanding the data.Reduce the numb

168、er of decimals and forego tolerance figures, data labels etc. where they are not essential for the message. Show values in one place, globally, rather than on every unit along the axis. Avoid unnecessary check marks, gridlines, frames, drop shadows, contour lines and coloured or otherwise decorated

169、backgrounds.Use clear and distinctive colour signatures rather than gradients, bitmaps, textures or hatch patterns, or any combination of those. Avoid placing numerous small complex graphs on the same slide, especially if this results in the type size being reduced to less than the required legible

170、minimum. This applies even if these graphs have mutual relevance. Despite everything, it is better to “switch” between two or more slides, to illustrate a relationship, than showing an illegible slide. NoteAll omitted information can be re-activated for a printed, on-line or CD version of the presen

This is a significant time saving feature, especially for graphs that requires continual updating. There

To adjust graph formatting, double-click any graph element and the relevant “Format” menu will appear.Scaling graphs in PowerPoint: Proportional scaling of charts can of course be achieved directly in PowerPoints standard editing mode. 177、an be done using either numerical “Properties” (right mouse click) or directly by dragging the corner handles of the graph. However, beware that disproportional scaling of the graph, by dragging anything besides the corner handles, will result in deformation of the typeface and other graphic element

Also note that, using this method, the font size will be scaled regardless of the “Auto scale” setting in MS Graph - this applies for both proportional and disproportional scaling!Scaling graphs in MS Graph: “Best practise”, when scaling graphs takes place within MS Graph.
