1、Unit 13:,Correspondence between Author and Editor:Query LetterCover LetterEditors ResponsesOther Correspondence between Author and Editor,Introduction:,Successful writing for publication should at least satisfy two requirements. First, authors should learn how to write correctly and discipline thems

2、elves to do just what they should to produce a quality manuscript as we have discussed in the previous units. Second, authors should learn how to communicate with editors.,Just as good manuscript writing involves the mastery of certain techniques of writing, learning to communicate with editors requ

3、ires the specific communicative skills. To master those skills, it is necessary to communicate effectively with editors, especially to understand the editors role and the relationship between authors and editors.,Query Letter:,A query letter aims at probing the possibility or permission to send in y

4、our manuscript. A well-structured query letter provides the author a chance of success. To ensure full benefits from your query letter, mind the following ten steps:,Address the editor personally, accurately.Use the editors correct title.Make sure that you have the name of the current editor.Type th

5、e exact title of the journal in UPPER CASE letters.Explain the subject.Establish credibility.Establish currency.Show application (tell how the reader can use it ).Obligate the editor to respond.Be concise.,Most editors have extremely demanding jobs. To Many editors, grammatical errors, spelling erro

6、rs, and punctuation errors are virtually obscene. (something about our need to avoid such errors in our query letters!) Because of such high levels of commitment to high standards, editors are often accused of being picky, cranky, and idiosyncratic. (e.g.: page 200-201),Cover Letter:,Most authors be

7、lieve it is to their advantage to include a cover (or transmittal) letter with their manuscripts. Correctly writing, the cover letter can achieve at least the following purpose. It can, with just a few sentences, “sell” the manuscript. Examine the following cover letters to see how this purpose is a

8、chieved. (page 202-203),Editors Responses:,Upon receiving a letter from the author, the editors usually will give a quick response. The following are some examples. Because some professional journals do not sell advertisements, c

12、harging expenses to contributors is for compensating the publication of professional papers. Therefore, page charges have become customary and common practice for many academic journals.,Printing costs may vary from journal to journal. To some journals, the expenses can be very high. Usually, a page

13、 charge form will be sent to the author if the manuscript is accepted, and the author is encouraged, whenever possible, to make a contribution to defray part of the publication cost. A mandatory overlength page charge form will also be sent to the author with the gallery proofs. It is therefore advi

14、sable that the author should take note of this hint before submission of the manuscriptA few journals charge their contributors a reading free.,In general practice, payment of page charges is usually handed in the following ways:1) Paid personally2) Paid institutionally3) Paid by the journal 4) Paid

Copyright and Copyright Transfer,Copyright refers to a body of exclusive rights that protect the works of authors, artists, computer programmers, and other creative people against copying or unauthorized p

16、ublic performance. In other words, copyright is the body of legal rights that protect creative works from being reproduced, performed, displayed, or disseminated by others without permission.,Owners of a copyright may transfer their copyright to someone else through a written contract. A copyright o

17、wner whose copyright is violated may file a lawsuit to stop further infringements (violations). Copyright infringers may be liable for actual damages and profits or for damages specified by the law. Unintentional infringement is also illegal but may be treated less harshly by the court than intentional infringement. Willfully violating a copyright is a criminal offense.,
